Stages of the Erasmus+ Selection Process for Long-Term Mobility
1. The student logs in with their institutional credentials on the platform http://erasmus.upb.ro and completes the application (according to the guide) for the desired mobility, uploading all required documents.
IMPORTANT for fee-paying students
For study mobility, the student may select up to three Erasmus partner universities from the FILS agreement list, available here (download the Excel file and select the “FILS” tab).
For the universities they apply to, the student must check on the university’s website the nomination deadline. If the nomination deadline has passed, the student must choose another Erasmus partner university.
If applying to another partner university of POLITEHNICA Bucharest (from another faculty’s list of agreements), the FILS student may be declared as RESERVE and after the selection process at that faculty, may be declared admitted or rejected, depending on the number of available places.
The field code (list available here) must correspond to the student’s specialization within FILS. Example: for the field “Computers and Information Technology” in FILS, the student will choose an Erasmus university with ISCED code 0610 – Information and Communication Technologies or ISCED 0611 – Computer Use. Placement mobility can take place in an institution from an EU partner country: companies, training/research centers, including higher education institutions or other organizations – except EU institutions, EU program bodies, or diplomatic representations/embassies of Romania. At the time of the FILS selection, the student does not need to present an acceptance letter from the host institution/company abroad but only specify the country where they intend to carry out the placement mobility.

2. The student participates in the selection interview. The result of the selection is published within a maximum of 5 working days and is also available in the student’s application status on http://erasmus.upb.ro. The Erasmus+ mobility grant is awarded to the candidates declared admitted, in descending order of the final score obtained, depending on available funding.
Implementation of the Erasmus+ Long-Term Mobility
Before the mobility
1. Admitted students must confirm their participation in the Erasmus+ mobility by emailing – erasmus@upb.ro, within 5 calendar days from the publication date of the Erasmus+ selection results, in order to start the administrative procedures. Failure to do so results in the loss of the student’s admitted status and transfer to the reserve list. A student declared reserve may become an Erasmus+ student only within the limit of remaining available mobilities.
2. The student completes the OLA (Online Learning Agreement) – https://www.learning-agreement.eu/ according to the outgoing guide, using the data of the Erasmus Vice-Dean from FILS, selecting subjects similar to those in the curriculum of their FILS study program (30 ECTS/semester, respectively 60 ECTS/year; 8 ECTS for internship).
3. The student sends the OLA “Before the Mobility” (PDF file downloaded from the OLA platform) by email to the representative of the Academic Recognition Committee for the FILS study program and to the Erasmus+ Vice-Dean adriana.lungu@upb.ro.
The Academic Recognition Committee analyzes the Learning/Training Agreement and issues a decision regarding the approval or rejection of the proposed content (or may recommend replacement of certain courses). The Learning Agreement can be signed by the Erasmus Vice-Dean only after approval by the Recognition Committee.
4. The student completes the Travel Request and uploads all necessary documents to the travel.upb.ro platform at least 30 days before the mobility start date, according to the guide. After finalizing the Travel platform formalities, the student sends the purchased travel ticket by email to erasmus@upb.ro then goes to the ERASMUS+ Office (Rectorate, room R401) to sign the financial contract.
During the mobility
The Learning Agreement can be modified within a maximum of 4 weeks from the beginning of the semester at the host university. he changes must be approved by the FILS Academic Recognition Committee, following these steps: completion of the “During the Mobility” section on https://www.learning-agreement.eu/, PDF download and sending it to the representative of the Academic Recognition Committee and the Erasmus+ Vice-Dean adriana.lungu@upb.ro requesting approval of the modified subjects (added/removed). The “During the Mobility” Learning Agreement can be signed by the Erasmus Vice-Dean only after it has been approved by the Recognition Committee.
At the end of the mobility
Upon completion of the Erasmus+ mobility, the student must send, within 10 days of returning to the country (but no earlier than the official end date stated in the Financial Contract), the following documents:
1. To the Erasmus+ Office, at erasmus@upb.ro:
- Certificate of Attendance issued by the host institution, stating the duration of the mobility according to the financial contract; it confirms that the student completed the study/placement mobility with physical presence;
- Transcript of Records / Transcript of Work showing the grades and ECTS credits obtained, or other forms of evaluation of the carried-out activity;
- Activity Report prepared by the student and approved by the Erasmus+ coordinator from POLITEHNICA Bucharest;
- Proof of actual travel (such as tickets, boarding passes, invoices for accommodation services, etc.).
2. To the representative of the Academic Recognition Committee and to the Erasmus Vice-Dean adriana.lungu@upb.ro: the Transcript of Records / Transcript of Work, together with the request for recognition of the obtained ECTS credits, according to the approved Learning Agreement.
The Recognition Committee is required to complete a Recognition Report for study mobility or a Recognition Report for placement mobility, specifying the full recognition of the ECTS credits obtained during the Erasmus+ mobility, in accordance with the Recognition Regulation and Grade Conversion Table, approved by the University Senate.
Courses that count toward the required 30 ECTS/semester for semester promotion must appear both in the Transcript of Records and the Learning Agreement. Any other course appearing only in the Transcript of Records but not in the Learning Agreement will be considered an optional course.
Earning fewer than 30 ECTS/semester implies retaking the missing courses in the following academic year, with exams held during regular POLITEHNICA Bucharest sessions. The Recognition Committee will specify in the Recognition Report which FILS curriculum courses must be retaken.
Funding of the Erasmus+ Long-Term Mobility
Students who DO NOT have a guarantor with Romanian citizenship to vouch for them will receive the ERASMUS grant at the end of their mobility period.
The mobility grant for study mobilities is composed of:
a) Individual support of 674 EURO/month for EU partner countries. Exceptions: Bulgaria, Croatia, Lithuania, North Macedonia, Poland, Serbia, Turkey, Hungary – for which the grant is 606 EURO/month; and 700 EURO/month for non-EU partner countries;
b) Financial support for travel, based on the distance band (see Table 1). Non-green travel” (standard) and “green travel” grants have the values shown in Table 1. Students who qualify as “green travel” participants may receive an additional subsistence grant of up to 6 days (outside the mobility period) for round-trip travel.;
c) An additional 250 EURO/month for students with fewer opportunities (those receiving a social scholarship or who qualify according to Order ME no. 6463/2023, Art. 10 (9), Roma students, or students with refugee status).
The mobility grant for placement mobilities is composed of:
a) Individual support of 824 EURO/month for EU partner countries. Exceptions: Bulgaria, Croatia, Lithuania, North Macedonia, Poland, Serbia, Turkey, Hungary – for which the grant is 756 EURO/month.
b) Financial support for travel, based on the distance band (see Table 1). “Non-green travel” (standard) and “green travel” grants have the values shown in Table 1. Students in the “green travel” category may receive an additional subsistence grant of up to 6 days (outside the mobility period) for round-trip travel;
c) An additional 250 EURO/month for students with fewer opportunities (those receiving a social scholarship or who qualify according to Order ME no. 6463/2023, Art. 10 (9), Roma students, or students with refugee status).
